TaskMaster Help

Everything you need to know about TaskMaster — unified task management for Vidona Group.

🚀 1. Getting Started

TaskMaster is Vidona Group's internal task management system. It organizes work across all your companies and transaction types in one place — from real estate transactions to general project tracking.

📁 2. Projects

Project Types

🏠 Transaction
Real estate deals — includes Whiteboard (key dates) and Green Sheet (financial summary) panels. Use for active buyer or seller transactions.
📋 General
Any other project — marketing campaigns, onboarding, operational tasks, team projects. Free-form with custom groups.

Creating a Project

  1. Click + New Project in the top-right header.
  2. Enter the project name.
  3. Choose Transaction or General type.
  4. Select the company (Vidona Residential, VG Abodes, etc.).
  5. Optionally choose a template to pre-fill task groups.
  6. Click Create.

Sidebar & Company Grouping

Projects in the sidebar are grouped by company. Click the company header to expand or collapse that section. The number next to each company shows how many projects are active.

Project Details

  • Rename: Click the project title at the top of the detail panel to edit inline.
  • Due date: Set a project-level deadline from the Details tab — appears on the calendar.
  • Status: Mark a project Active, On Hold, or Complete from the Details tab.
  • Archive: Open the Details tab and click Archive, or right-click the project in the sidebar.

Project Members

From the Members tab in the detail panel, you can add team members with one of three roles:

RoleCan do
OwnerFull control — edit, archive, delete project and manage members
MemberCreate and edit tasks, post comments, upload files
ViewerView tasks and comments, no editing

✅ 3. Tasks

Creating a Task

  1. Click + Task at the top of the task list (or at the bottom of any group).
  2. Type the task title and press Enter.
  3. Fill in the group, assignee, and due date inline — or click the task to open the detail panel.

Task Status

Open In Progress Done N/A Waiting on Client

Click the status badge on any task to cycle through statuses, or use the checkbox to mark it done. Checking the checkbox marks it Done; checking again reverts to Open.

Assignees

  • Click the + icon on a task row to add an assignee from the team dropdown.
  • Multiple assignees are allowed — each gets their own avatar.
  • Click the X next to an assignee to remove them.
  • Tasks assigned to you appear in the Assigned to Me view.

Due Dates

  • Click the date cell on a task row to open a date picker (fixed date).
  • Click ⋮ (ellipsis) next to the date for more options, including relative dates.
  • See Section 6 for details on relative due dates.

Task Description

Click the task name to expand the detail panel. The Notes tab contains a rich-text description editor. Write instructions, paste links, embed images — anything the assignee needs to know.

Renaming, Deleting, Other Actions

  • Rename: Double-click the task name inline. Press Enter to save, Escape to cancel.
  • Delete: Right-click the task and choose Delete task. Confirmation required.
  • Hide completed: Use the Hide Done toggle at the top of the task list to hide tasks with status Done or N/A.

📋 4. Board View (Kanban)

Any project can be viewed as a Kanban board — tasks become cards you move across columns (for example Ideas → In Progress → Complete). Moving a card is the same as changing that task's status, so the board and the list stay perfectly in sync.

Turning a Project Into a Board

  1. Open the project.
  2. Click ☰ Convert to Board in the project header. (Owners only — the button is hidden for Members and Viewers.)
  3. Confirm. TaskMaster seeds three starter columns — Ideas, In Progress, and Complete — and moves your existing tasks into them (completed tasks land in Complete, everything else in Ideas).
  4. The project now opens as a board automatically every time. Nothing is lost — the same tasks are simply shown as cards.
Board vs. list: Only projects you've converted show the board. Projects that were never converted keep the classic list view exactly as before.

Moving Cards (Mouse)

  • Drag and drop a card from one column to another to change its status.
  • The move saves automatically the moment you drop — there is no Save button.
  • If the save fails (e.g. connection drop), the card snaps back to its original column and a message appears, so what you see always matches what's stored.
  • Click a card to open the task's detail panel, just like clicking a task in list view.

Moving Cards (Keyboard)

The board is fully keyboard-operable — no mouse required. Tab to a card, then:

KeyWhat it does
Enter or SpacePick up the focused card (it lifts to show it's grabbed)
← / →Move the picked-up card to the previous / next column
Enter or SpaceDrop the card in the current column (saves automatically)
EscCancel the move and leave the card where it was
Screen readers: Every pick-up, move, drop, cancel, and edge-of-board is announced aloud, including a spoken confirmation if a save fails — so the board is accessible without sight of the screen.

Managing Columns

  • Add a column: Click + Add column at the right end of the board and name it.
  • Reorder columns: Drag a column by its grip to change the left-to-right order.
  • Delete a column: Use the column's delete control. If it still holds cards, you'll be asked which column to move them to first. A board always keeps at least one column.

Filtering & Organizing the Board

  • Search / filter: Use the board toolbar to filter cards by text, label, assignee, or priority.
  • My items: Toggle to show only cards assigned to you.
  • Group by (swimlanes): Split the board into horizontal lanes (e.g. by assignee) for an at-a-glance breakdown.
  • Column totals: Each column header shows a running count (and optional rollup) of the cards it holds.

🔗 5. Task Dependencies

Dependencies let you declare that Task A must be finished before Task B can start. Blocked tasks are locked until their blockers are resolved.

Creating a Dependency

  1. Hover over a task to reveal the chain icon (🔗) — this is the "blocking task" (Task A).
  2. Click the chain icon to enter linking mode.
  3. Click the task that should be blocked (Task B).
  4. Task B now depends on Task A.

Visual Indicators

IndicatorMeaning
🔒 Lock icon on checkboxThis task is blocked — one or more blockers must be completed first
Depends on: Task Name tagShows what this task is waiting on; click X to remove
Blocks: 2 badgeThis task is blocking 2 other tasks downstream

Removing a Dependency

On the blocked task, click the X on the "Depends on: [Task Name]" tag. The block is removed immediately.

Hard enforcement: You cannot check off a blocked task until all its blockers are marked Done or N/A. N/A counts as complete for dependency purposes.

🕑 6. Relative Due Dates

Instead of picking a fixed calendar date, you can set a task's due date relative to when a blocking task completes — for example, "3 days after the inspection clears."

Setting a Relative Date

  1. Click the ⋮ (ellipsis) icon next to the task's due date cell.
  2. Choose Relative date mode.
  3. Enter the number of days offset (e.g., 3).
  4. Select the blocking task this date is relative to.
  5. Save.

How It Works

  • Until the blocker completes, the due date shows as "+3d after [Task Name]" — no calendar date yet.
  • When the blocking task is marked Done (or N/A), TaskMaster automatically calculates and sets the real due date.
  • The due date field then shows the resolved calendar date like normal.
Tip: Relative dates are ideal for transaction timelines where dates cascade — "3 days after ratification," "5 days after inspection," etc.

💬 7. Conversations & Comments

Every task has its own conversation thread. There's also a project-level Activity feed that shows all comments in one place.

Opening a Conversation

Click the speech bubble icon (💬) on a task row, or click the task name to open the detail panel and go to the Conversation tab.

Rich Text Formatting

  • Bold, italic, bullet lists, numbered lists, hyperlinks
  • Paste images directly into the editor
  • Press Ctrl+Enter to submit

Emoji Reactions

Hover over any comment to reveal the + reaction button. Click it to open the emoji picker and react with 👍❤😂🎉🙌👀🔥✅❌💯. Click a reaction pill on a comment to toggle your reaction on or off.

Quoted Replies

Hover a comment and click the ↩ Reply button to quote it. The quoted text appears in your editor as a reference block. The reply is linked to the original comment — the thread stays organized.

Activity Tab

The Activity tab (in the project detail panel, not a single task) shows all comments across all tasks in the project. Use the filter pills to see:

  • All — every comment in the project
  • Project Only — project-level updates posted at the bottom of Activity
  • Tasks Only — task conversation comments

Post a project-level update from the text box at the bottom of the Activity tab — this is for announcements that apply to the whole project, not a specific task.

📅 8. Calendar

Project Calendar vs. Org-Wide Calendar

Project Calendar
Shows task due dates and (for Transaction projects) whiteboard dates for the currently selected project only.
Org-Wide Calendar
Click Calendar in the header. Shows due dates across all projects — filterable by type, company, and assignee.

Org Calendar Filters

  • Type pills: All / Transactions / General — filter by project type
  • Company dropdown: Show one company or all
  • Assigned to Me checkbox: Show only tasks assigned to you (task events only; whiteboard/project dates always show)

Grid and List Views

Toggle between a monthly Grid view and a List view using the view buttons in the calendar header. List view shows upcoming events in chronological order.

Events & Interaction

  • Multiple tasks on the same day are aggregated into a "N Tasks Due" pill — click it to expand and see the individual tasks.
  • Click any event to open a popup with task details and a link to navigate directly to that task.
  • Press Escape to close the calendar.

🔎 9. Views & Search

Assigned to Me

Click 👤 Assigned to Me in the header. Shows every open task assigned to you across all projects — regardless of which project is currently selected. Useful for your personal daily to-do list.

Overdue

Click ⚠ Overdue in the header. Shows all past-due tasks (due date in the past, status not Done/N/A) across all projects. Review this regularly.

Search

Press Ctrl+K (or click the search box in the header) to search across:

  • Project names and descriptions
  • Task titles and notes

Results are grouped by Projects and Tasks. Click a result to navigate directly to that item. Use arrow keys to move through results, Enter to select, Escape to close.

☑ 10. Multi-Select & Bulk Actions

Select multiple tasks at once and apply actions to all of them in a single step.

Entering Multi-Select

  • Desktop: Hold Ctrl and click any task checkbox to enter multi-select mode and add that task to the selection.
  • Mobile: Long-press (hold) a task row to enter multi-select, then tap additional tasks to add them.

Managing Selection

  • Selected tasks are highlighted with a blue outline.
  • Ctrl+Click additional tasks to add or remove from selection.
  • A banner appears at the top of the task list showing how many tasks are selected.
  • Press Escape or click Cancel in the banner to exit multi-select.

Bulk Actions

Use the action buttons in the bulk banner to apply changes to all selected tasks:

ActionWhat happens
AssignOpen assignee dropdown — selected users are added to all selected tasks
Set DateApply a single due date to all selected tasks
Mark CompleteSet all selected tasks to Done status
Mark N/ASet all selected tasks to N/A status
DeletePermanently delete all selected tasks (requires confirmation)
Tip: Bulk actions run in parallel — marking 20 tasks complete takes the same time as marking 1.

📄 11. Right-Click Context Menu

Right-click any task row to open a context menu with quick actions — no need to open the detail panel.

Available Actions

  • Rename — edit the task name inline
  • Assign — add or change assignees
  • Set due date — open the date picker
  • Add dependency — enter linking mode to connect a blocker
  • Mark complete — set status to Done
  • Mark N/A — set status to N/A
  • Delete task — permanently remove the task
Multi-select + right-click: When multiple tasks are selected, right-clicking shows the same context menu. Applicable actions (assign, set date, mark complete, mark N/A, delete) apply to the entire selection. Rename and Add dependency are disabled in multi-select.

Mobile

On mobile, long-press a task to open the context menu (single task) or enter multi-select (if already in multi-select mode).

☀️ 12. Dark / Light Mode

TaskMaster defaults to dark mode. Click the ☀️ icon in the header to switch to light mode. Click 🌙 to switch back to dark.

Your preference is saved in the browser and persists across sessions — you won't need to set it again.

💌 13. Email Digest

TaskMaster sends each team member a personalized daily email digest every weekday at 8 AM Eastern. You only receive a digest if you have at least one task in any of the sections.

Digest Contents

SectionWhat's included
Past DueUp to 5 tasks with a due date in the past and status not Done/N/A
Due TodayAll tasks due today
Due This WeekUp to 10 tasks due in the next 7 days
Direct links: Every task in the digest email is a clickable link that opens directly to that task in TaskMaster.

The digest is per-user — each person only sees their own assigned tasks. Vantage AI does not receive a digest.
